The Jane Goodall Institute USA seeks a Development Coordinator to be based in USA Headquarters office in Washington, DC. The Development Coordinator reports to the Senior Director of Development Operations and is responsible for supporting the administrative needs of the Vice President of Development and Development team.

In addition, the Development Coordinator serves as one of the primary points of contact for donors and donor prospects providing best in class customer service. The position will also support the Development team’s in-house fundraising and stewardship activities as well as the administrative aspects of external vendor management.


Work Responsibilities

DONOR SERVICES ADMINISTRATION (40%)

  • Manage in-house mail pickup, sorting, scanning, and logging checks for gift processing following approved guidelines for timely, accurate handling and response, and security.
  • Serve as main point of contact for general donor correspondence, providing superior customer service via mail, general email inbox, and department phone/voicemail; and manages and directly responds in a timely manner to donor requests and comments such as donor opt outs, tax receipts reprints, comments on direct mail pieces, etc.
  • Route donor and constituent inquiries to the appropriate point of contact for response within Development, other JGI teams, and external vendors.
  • Respond to and resolve data-related donor requests including receipt requests, questions about their donations, monthly donor requests to update their gift pledges, and unsubscribe requests.
  • Working with the Specialist of Donor Services, manage all aspects of preparing and sending in-house acknowledgements.
  • Assist with in-house mailings such as JGI publications, annual reports, holiday cards, event invitations, and other stewardship mailings.
  • Ensure accurate data entry and record keeping in JGI’s database for all actions listed above.

VP AND DEVELOPMENT TEAM SUPPORT (40%)

  • Support the Vice President of Development and other team members with scheduling, meeting management, and assisting with other logistical tasks as needed.
  • Assist with the annual application for JGI’s participation in the Combined Federal Campaign, the submission of state registrations as well as the submissions to charity rating sites such as Charity Navigator and Better Business Bureau as requested.
  • Manage the creation and preparation of personalized stewardship packages as well as fundraising proposal packets and donor visit materials as needed.
  • Coordinate weekly staff reporting, including 515s and other team updates.
  • Manage onboarding process for new staff and train new staff on select administrative tasks and procedures.
  • Update and maintain Development administrative policies, procedures, and documentation; regularly assess these and develop, recommend, and implement proposed improvements to the team and management as appropriate.
  • Resolve administrative challenges by reviewing team needs and goals; identify, create, and communicate solutions.
  • Perform other duties as assigned.

EXTERNAL VENDOR SUPPORT (15%)

  • Coordinate the onboarding, setup, and maintenance of Development vendors.
  • Manage and process all invoices for approval to ensure timely payment and accurate expense coding with Finance.
  • Maintain appropriate documentation and reminder system for vendor contracts.

BUILD JOB KNOWLEDGE AND EXPERTISE (5%)

  •  Regularly research and pursue job-related educational opportunities to more effectively support the Development team’s purpose and services to the broader JGI team.

Job requirements

Education and Experience

  • Bachelor’s degree preferred.
  • 2+ years of professional experience; Past experience at a non-profit organization is preferred.
  • Passion for conservation and environmental cause.
  • Ability to work independently and collaboratively in a goal- and deadline-oriented team environment.
  • Ability to communicate professionally across all channels with donors, the general public, and JGI staff required.

  • Ability to maintain high standards of confidentiality and sensitivity with donor information and correspondence.
  •  Ability to work as a team player and willingness to learn new skills to help advance JGI’s fundraising efforts.
  • The hybrid position will work out of JGI-USA’s Washington, DC headquarters with the requirement of being in office 2 to 3 business days per week.
